The SPS Technical System Takeover Checklist is a free online tool for organisations that want to change the company maintaining their fire alarm, intruder alarm, CCTV or access control systems. It asks non-technical questions about contracts, documentation, servicing, faults, engineer codes and admin passwords, and produces a takeover readiness rating for each system, a list of issues to resolve, a checklist of documents to request from the current provider, a ready-to-send handover request email and a downloadable PDF report. It does not survey or certify any system.

This checklist gives an initial indication of how easily your systems could move to a new maintainer, based on your answers. It is not a survey and does not confirm the condition, compliance or certification of any system. Check your existing contract terms before giving notice to your current provider.

## What a System Takeover Involves

A system takeover is when a new company takes over maintenance of a fire alarm, intruder alarm, CCTV or access control system that another company installed. You don't need to replace equipment to change maintainer. Most commercial systems can be maintained by any competent engineer with the right access, documents and parts.

A good takeover starts with a survey. The engineer records what is installed, how it is performing, any faults, and what documents are missing. You then get a clear view of routine maintenance and any remedial work, kept separate so you can decide what to do and when.

## Why Engineer Codes and Passwords Matter

The most common thing that slows a takeover is access. Intruder alarm and fire alarm panels have engineer codes, CCTV recorders have administrator passwords, and access control software has admin accounts. If only the outgoing provider holds them, the new maintainer may have to reset the equipment, which can mean reprogramming.

Ask for codes and passwords in writing before your contract ends. The checklist creates a ready-to-send handover request email that lists everything to ask for.

## Check Your Contract Before Giving Notice

Many maintenance contracts renew automatically unless notice is given within a set window, often 30 to 90 days before the end date. Read your contract for the end date, notice period and any renewal clause before you tell your provider you are moving.

Police-response intruder alarms also need their Unique Reference Number (URN) and Alarm Receiving Centre account transferred correctly, so the alarm stays monitored during the change.

## System Takeover Checklist FAQs

### Can a different company maintain a system someone else installed?

Yes. Most commercial fire alarm, intruder alarm, CCTV and access control systems can be maintained by any competent company with access to the codes, documents and parts. A takeover survey confirms this for your systems.

### Do I need to replace my system to change maintainer?

Usually not. A takeover survey records the condition of what is installed. Replacement is only recommended where equipment is faulty, unsupported or no longer suitable.

### What if my current provider won't hand over engineer codes?

Ask in writing first. If codes still aren't provided, many panels and recorders can be reset, although this may mean reprogramming. The takeover survey identifies the best route for each system.

### Will my alarm stop being monitored during the changeover?

It shouldn't. The monitoring account and any police URN should be transferred in a planned way, with the new maintainer coordinating with the Alarm Receiving Centre.

### Is this checklist a substitute for a survey?

No. It gives an initial indication based on your answers. A takeover survey by a competent engineer is needed to confirm the condition and compliance of each system.
