# Privacy policy

How SPS Security Ltd, through its SPS Technical division, uses the personal information you give us through this website, and your rights over it.

Last updated 13 October 2026

## In short

- We only collect what you choose to give us, such as your name and contact details when you send an enquiry.
- We use it to reply to you and, if you become a customer, to provide our services.
- We never sell your information or use it for anyone else's marketing.
- You can ask to see, correct or delete your information at any time by emailing info@sps-technical.com.

## Who we are

SPS Technical is not a separate company. It is the fire and security systems division of SPS Security Ltd, part of SPS Group. SPS Security Ltd is the data controller for personal information collected through sps-technical.com, and "we" and "us" in this policy mean SPS Security Ltd.

- SPS Security Ltd, registered in England and Wales, company number 02738677
- Registered office: Neptune House, Neptune Street, Hull, HU3 2BP
- Email: info@sps-technical.com · Telephone: 01482 226570 (01482226570)
- Registered with the Information Commissioner's Office, registration number Z6673663

## What we collect

### Information you give us

- **Enquiries:** when you use our contact form, a tool's enquiry form or request a guide, we collect your name, company, email address, phone number, site postcode and anything you write in your message, plus the type of system and enquiry.
- **Contractor specifications:** if you send us a specification or drawings through the contractors page, we collect your contact details and the files you upload.
- **Customer feedback:** if you leave feedback, we collect your name, email address, company, role, location, rating and comments. We only publish feedback with your permission.
- **Questions to the Standards Library:** when you use Ask the Standards Library, we store the question you type so we can improve our guidance. We don't ask for your name, and please don't include personal details in your question.

### Information collected automatically

- **Website analytics:** how visitors use the site, such as pages viewed, the device and browser used and roughly where in the country visits come from. See Cookies and analytics.
- **Form security:** to stop spam and misuse, our forms record when they were started and use a hidden spam trap. Ask the Standards Library limits how many questions can be asked in a short time using a one-way coded value; we don't store your IP address.
- **Postcode lookups:** the Local Risk Assessment tool sends the postcode or location you enter to public crime data services to produce your results. We don't keep it unless you send us an enquiry.

## How we use it and why

Data protection law says we must have a lawful reason to use your information. Ours are:

- **To reply to your enquiry** and arrange surveys, quotes or visits. Lawful basis: legitimate interests (responding to people who contact us) and, where you ask us for a quote, taking steps towards a contract.
- **To provide our services** if you become a customer, including maintenance visits, fault response and records. Lawful basis: contract, and legal obligations such as keeping accounts.
- **To improve our website, tools and guidance**, including reviewing the questions asked in Ask the Standards Library. Lawful basis: legitimate interests.
- **To publish feedback** you have given us. Lawful basis: your consent, which you can withdraw at any time.
- **Website analytics cookies.** Lawful basis: your consent.

We will only send you marketing emails if you have asked us to, and every email will let you unsubscribe. We don't make decisions about you using automated processing.

## Who we share it with

We don't sell your information. We share it only where needed to run our business, with:

- **Other SPS Group companies**, such as SPS Security for monitoring, keyholding or response, where that is part of the service you ask for.
- **Service providers who work for us**, under contract and only on our instructions: our website and database hosting provider (Base44), our email delivery provider (Resend), Google Analytics, our search visibility service (Encited), and the AI service used to write answers in Ask the Standards Library.
- **Professional advisers, insurers and authorities** where we have to, for example to meet a legal obligation or to protect our rights.

Some of our service providers are based outside the UK, for example in the United States. Where your information leaves the UK, we rely on the safeguards UK law requires, such as UK adequacy regulations or the UK International Data Transfer Agreement.

## How long we keep it

- **Enquiries that don't lead to work:** 2 years from our last contact.
- **Customer records:** for as long as we provide services, then 6 years after the contract ends, for legal and accounting reasons.
- **Customer feedback:** 3 years, or until you ask us to remove it.
- **Ask the Standards Library questions:** 2 years.
- **Analytics data:** 14 months.

## Cookies and analytics

Cookies are small files stored by your browser. We use:

- **Essential storage:** needed for the site to work, such as remembering which button brought you to the contact form during your visit. This is deleted when you close your browser.
- **Google Analytics** (cookies named _ga and _ga_…): tells us how the site is used so we can improve it. IP addresses are anonymised. These cookies last up to 2 years.

Google Analytics cookies are only set if you choose "Accept" on our cookie banner. You can change your choice at any time using "Cookie settings" at the bottom of every page, or block and delete cookies in your browser settings. Rejecting analytics cookies won't stop the site working.

## Your rights

You have the right to:

- ask for a copy of the information we hold about you
- ask us to correct information that is wrong
- ask us to delete your information
- object to, or ask us to restrict, how we use it
- ask for your information in a format you can take elsewhere
- withdraw your consent at any time, where we rely on consent

To use any of these rights, email info@sps-technical.com or write to us at the address above. We'll respond within one month. There's normally no charge.

## Contact and complaints

If you have a question or concern about how we use your information, please contact us first at info@sps-technical.com and we'll do our best to put it right.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: https://ico.org.uk/make-a-complaint/ or 0303 123 1113.

## Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
